Message from the Clubs Office
 

Dear Club Volunteers:

Welcome to our first of many Club Hub digests specifically designed for club officers and volunteers, one of many tools that we hope will enhance your experience.  In addition to highlighting campus news and club events, this is also a forum for all of us to share ideas as clubs - and our lives - continue to evolve.

This newsletter is a work in progress and we welcome feedback to ensure that it is providing you with the most helpful information and tools possible.  We will be delivering the first couple to you by mail and e-mail and ask you to please tell us which method you prefer.

Faculty/Book Speakers:
The new brochure will be on-line soon!  In the meantime, please ask for a new list if you haven’t already requested a speaker.  Faculty speakers are extremely popular and are a great way to reach out to alumnae in your area.  Please note that book speakers are also now part of the program.

Tips from RCCs
 

Managing Alumnae Across a Small Area
The Chicago Club covers a fairly large area and moved away from hosting most club events in a central location after hearing from members that they would prefer if they did not always have to drive into town for a Smith event. The Club adopted a regional model, naming a vice president for each of the city's three regions, and those VPs committed to planning at least one event in her region each year. All alumnae are invited to all events.

Concentrate on Connection
Emphasize that the priority is increasing connections among alumnae and to the college – not in belonging to a club.  The Chicago Club bills events as Smith College Alumnae events.

Keep the 'Fun' in Fundraising
The Seattle club holds a White Elephant Auction luncheon as a fundraiser.

 
 

Keeping Club Events 'Top of Mind'
The Los Angeles Club improved attendance at social events with a Save The Date postcard (printed on very bright paper) sent in advance so alums can pin it to their fridge or bulletin board as a festive reminder.

Creative Leadership
Think about using different governance models, for example a collaborative model where the board or a committee takes on leadership for the club.  Take turns being responsible for and leading meetings as the Hampshire County (MA) club does.

 
 

Other Good Tips from Around the Clubs

 
  • Get a list of books to read from professors who you invite as faculty speakers
  • Hold decade parties
  • Make sure your club newsletters are easily readable
  • Appoint a young alum chair
  • Mentor current students & new graduates
  • In succession planning, find a ‘shadow’ person whom can learn the job before taking over – it’s much less overwhelming
 

 

Helpful Reminders

 

Consider preparing end of the semester care packages for students from your area.  It can be a fun group project, and as simple or detailed as you like.  Some groups like to send packages they make themselves, others send gift certificates for Herrell’s ice cream or other places near campus.
